Booking, Cancellation & Workshop Policy

Effective date: 27 August 2026

This policy applies to bookings made for The Cosmetics Club workshops, birthday experiences, school programmes, private events, adult workshops and other scheduled experiences.

1. Booking Confirmation

A booking is confirmed once payment has been successfully received and a confirmation has been issued.

For bookings requiring a deposit, the booking will only be secured once the required deposit has been paid.

Please check the booking date, time, venue and number of participants carefully before completing payment.

2. Cancellation by the Customer

We understand that plans can change.

The date on which we receive the written cancellation request will be used when determining the applicable cancellation terms.

More than 7 days before the scheduled experience

Cancellations received more than 7 days before the scheduled experience are eligible for a 50% refund of the amount paid, less any non-refundable payment-processing fees actually charged to The Cosmetics Club.

Where appropriate, customers may instead request to transfer their booking to another available date, subject to availability.

Within 7 days of the scheduled experience

Cancellations received within 7 days of the scheduled experience are not eligible for a cash refund.

Where possible, The Cosmetics Club may allow the booking to be transferred to another available session or date, subject to availability.

A booking may also be transferred to another participant where The Cosmetics Club is notified in advance and the replacement participant meets any applicable age, safety or participation requirements.

No-shows

If a participant does not attend the scheduled experience and no prior notice has been provided, the booking is considered a no-show and is non-refundable.

Where appropriate, The Cosmetics Club may offer a transfer at its discretion, subject to availability.

3. Cancellation Due to Death or Hospitalisation

Where a customer is unable to attend because of the death or hospitalisation of the person for whom the booking was made, The Cosmetics Club will not impose a cancellation fee in circumstances covered by applicable consumer law.

Reasonable supporting information may be requested.

4. Rescheduling

Requests to change a booking date should be made as early as possible.

Rescheduling is subject to:

  • availability
  • the type of experience booked
  • preparation already undertaken
  • any relevant venue arrangements

A booking may only be moved once unless otherwise agreed in writing.

5. Changes in Number of Participants

Please notify us as soon as possible if the number of participants changes.

For birthday parties, private events, school groups or corporate bookings, pricing may change where the confirmed number of participants changes.

A reduction in the number of participants does not automatically entitle the customer to a refund.

6. Cancellation by The Cosmetics Club

In the unlikely event that The Cosmetics Club must cancel or materially reschedule an experience because of circumstances within our control or circumstances that make the experience impossible or unsafe to provide, customers will be offered either:

  • a transfer to another available date; or
  • a refund of payments made for the cancelled booking.

We will communicate any cancellation or rescheduling as soon as reasonably possible.

7. Arrival and Late Arrival

Participants should arrive on time.

Late arrival may reduce the available activity time where the session must finish at its scheduled time or where another booking follows.

The Cosmetics Club cannot guarantee that missed portions of a session can be repeated.

8. Allergies and Sensitivities

Customers must inform The Cosmetics Club of any known allergies, sensitivities or relevant concerns before participating.

Please review the ingredient information provided for the relevant activity or product.

The Cosmetics Club will provide information about the ingredients used in an experience, but customers and parents/guardians remain responsible for informing us of relevant allergies or sensitivities before participation.

9. Children's Experiences

For children's experiences, the booking adult/parent/guardian is responsible for providing accurate information relevant to the child's participation.

Children must follow the instructions of the facilitator and use ingredients and equipment only as instructed.

10. Participant Conduct

The Cosmetics Club reserves the right to ask a participant to stop participating where their behaviour creates a safety risk, deliberately damages equipment or substantially disrupts the experience of others.

Where a participant is removed because of serious misconduct or unsafe behaviour, no refund will ordinarily be provided, subject to applicable law.

11. Agreement

By completing a booking, the customer confirms that they have read and understood this policy and agree to the applicable booking terms.

Nothing in this policy limits any consumer right that cannot lawfully be excluded or restricted under South African law.
